Administrative Assistant
Allen & Major Associates, Inc. is seeking a part-time Administrative Assistant in our Lakeville, MA office. This versatile role is ideal for someone who thrives in a fast-paced environment, enjoys managing multiple responsibilities, and has a keen eye for detail and accuracy. You'll work closely with our Principals and Project Managers to provide support with administrative tasks, office management, and proposals. Your ability to be proactive, anticipate needs, problem-solve efficiently, and execute tasks with precision will be the key to success in this role. This position has the opportunity to grow to full-time for the right person.
Key Responsibilities are as follows:
Administrative Support
- Assist with day-to-day office operations including answering phones.
- Order and manage office supplies.
- Open and distribute daily office mail.
- Prepare FedEx/UPS/USPS packages as required. Follows protocol for setting up shipment details, tracking, and maintaining contact data.
- Prepare certified mailings.
- Support staff with scheduling, filing, correspondence, and general tasks.
- Act as a liaison to the Landlord regarding office repairs/maintenance.
- Special projects as required.
- Assist in implementing the company's QA/QC standards for documents.
Proposal Administration
- Assist with the preparation, tracking, and documentation of proposals, additional services, and overruns under the direct guidance of the Project Manager/Principal.
- Ensure compliance with proposal standards, QA/QC
- Organize and maintain digital and physical contract files.
- Use Word Document templates for consistency in document processing.
- Maintain all relevant proposal information in Excel
Must-Have:
- 3+ years of experience as an administrative assistant.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook), and Adobe.
- Exceptional organizational, multitasking, and problem-solving abilities.
- Strong written and verbal communication skills, with the ability to interface at all levels of the organization.
- Be self-motivated
- Experience in an engineering or construction company is highly advantageous.

Accounting Assistant
Allen & Major is seeking a detail-oriented, highly organized Accounting Assistant to join our growing team in a full-time position. This versatile role is ideal for someone who thrives in a fast-paced environment, enjoys managing multiple responsibilities, and has a keen eye for detail and accuracy. You'll work closely with our Principals, Controller, and Billing Manager, providing support with accounts payable, accounts receivable, and contract administration. You will be based in our Lakeville office, with occasional travel to our corporate office in Woburn for meetings and training. Experience in an architecture, engineering, or construction firm is a plus. The key to success in this role is a proactive and flexible attitude.
Key Responsibilities are as follows:
Accounts Payable (AP)
- Process and verify vendor invoices and purchase orders.
- Ensure timely and accurate payments.
- Reconcile discrepancies and manage AP aging.
Accounts Receivable (AR)
- Generate and issue client invoices.
- Track incoming payments and follow up on overdue accounts.
- Maintain accurate AR records and reports.
Contract Administration
- Assist with the preparation, tracking, and documentation of contracts.
- Ensure compliance with contractual deadlines and obligations.
- Organize and maintain digital and physical contract files.
Must-Have:
- 3+ years of experience
- Strong organizational and multitasking skills
- Prior experience with Deltek AJERA or similar Database Management Software a plus
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams), and Adobe
- Ability to handle multiple requests from various team members
- Familiarity with HR tasks and procedures

Senior Project Manager
Allen & Major Associates, Inc. is seeking a Senior Project Manager with 10+ years of experience in Civil Engineering to join our growing team in Woburn, MA. Responsibilities will include the management of development projects from concept to completion with a special focus on fostering client relationships and utilizing your technical knowledge to lead project teams and mentor junior staff.
The ideal candidate will have the ability to work on a diverse portfolio of projects and be able to manage projects from initial concept through completion. You should possess the technical and management skills required to ensure the successful completion of assigned projects, on time and within budget.
Requirements:
- Knowledge of the Massachusetts land use entitlement processes and local and state regulations.
- Experience with private developments performing site due diligence, preparing land use permit applications, understanding zoning laws, and presenting to municipal agencies.
- Experience with municipal projects is a plus.
- Strong analytical skills with attention to detail and prioritization of responsibilities in a pressure work environment.
- Ability to elicit cooperation from a wide variety of sources, including senior management, clients, regulators, and company-wide staff.
- Proficient with making technical computations and calculations involving the application of engineering principles, understanding plans and specifications, and making factual comparisons to the appropriate regulations.
- Ability to work independently and provide guidance and leadership to junior-level team or project members, with strict adherence to QA/QC procedures.
- Excellent leadership and interpersonal verbal and written communication skills with the ability to effectively, persuasively, and tactfully interact with employees at all levels of the organization.
- Ability to travel to project sites and attend public hearings and business meetings as required
- Proficiency in Microsoft Suite (Word, Excel, PowerPoint) and Civil design software tools including AutoCAD, and HydroCAD.
Qualifications:
- Bachelor of Science in Civil Engineering, or equivalent.
- Professional Engineer registration in Massachusetts.
- 10+ years of professional engineering experience.
